This Privacy Policy explains how Reserve, operated by Sigma7 Group Inc (“Reserve,” “we,” “us”), collects, uses, and shares information when you use our website and services (the “Service”). By using the Service, you agree to this Policy.

This Policy covers account holders, the team members and collaborators they invite, and visitors to our website.

2. Information we collect

We collect the following categories of information:

Account details — name, email address, phone number, company name, and billing information.
Business data you provide — distributor and supply-house invoices, purchase records, equipment model/serial/date information, registration records, and any homeowner or customer contact details you upload so that a unit can be registered.
Technical data — IP address, browser and device identifiers, and usage logs generated when you use the Service.

3. How we use information

We use information to:

Provide, operate, and maintain the Service.
Reconcile the equipment you purchased against registration records, validate serial numbers, track deadlines, and generate reports.
Manage your account and process payments.
Respond to support requests and communicate with you about the Service.
Detect, prevent, and respond to fraud, abuse, and security incidents.
Improve the Service, including its AI-assisted features.

4. Manufacturer-portal credentials

We do not collect or store your manufacturer-portal usernames or passwords, and we do not log in to manufacturer portals on your behalf using your credentials. Registrations are completed by you in your own session, or by a user you expressly provision for that purpose.

5. AI processing

Some features use AI to process your User Content — for example, to extract model and serial information from invoices and data plates. Your User Content may be processed by our systems and by trusted third-party AI providers. We do not permit AI providers to train general-purpose models on your data without your consent or de-identification.

6. How we share information

We share information:

With people you designate — the team members and collaborators you invite, according to the roles and access you assign.
With service providers — vendors that host our infrastructure and database, deliver email, provide customer support and analytics, process AI requests, and process payments, each under contractual confidentiality and data-protection obligations.
For legal reasons — when required by law, legal process, or to protect rights, safety, and the security of the Service.
In a business transfer — in connection with a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell your personal information.

7. Service providers

We rely on a limited set of service providers to run the Service, including cloud hosting and database providers, an AI processing provider, an email delivery provider, a customer-support provider, and a payment processor. 8. Data retention

We retain your information while your account is active and as needed to provide the Service. After your account is closed, we delete or de-identify your User Content within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, and to be free from discrimination for exercising these rights. 10. Personal data about others

When you upload homeowner or customer contact details so a unit can be registered, you are responsible for having any consents or notices required to share that information with us. We process it on your behalf to provide the Service.

We use reasonable administrative, technical, and organizational safeguards to protect information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

12. Cookies and analytics

We use cookies and similar technologies that are necessary to operate the Service and, where applicable, to understand usage and improve the Service.

13. Children

The Service is intended for business use by adults and is not directed to children under 18. We do not knowingly collect personal information from children.

14. Where we process data

We operate in the United States, and your information may be processed there and in other locations where our service providers operate.

15. Changes to this Policy

We may update this Policy from time to time. For material changes we will provide notice by email or within the Service. Continued use of the Service after the effective date constitutes acceptance of the updated Policy.
